Final Paper Submission

Final paper submissions are due by midnight (PDT TIme) on May 30, 2016, via Papercept.      The following elements must be addressed for final submission to be completed:

  1. Camera-ready final paper
  2. Digest
  3. Optional Video
  4. Copyright Transfer
  5. Registration

Camera-Ready Final Paper

Camera ready final papers must be written in English and submitted electronically in PDF format.  The number of pages including all figures is limited to six, but two additional pages will be permitted at an extra page charge.  Besides the page limit, file size is strictly limited to 6MB or less. Authors can find templates to prepare their papers either in LaTeX or in Microsoft Word.  Papers are to be submitted in .pdf format.  Prior to the submission, create a PDF version of your paper and perform the IEEE PDF compliance test.  If your paper does not pass the test, you may not continue until it passes the test.  You may read the PDF Test Help to help in revising the format of your paper, if necessary. 

Accepted papers will be presented in an oral/poster presentation during the conference. In addition, all contributions will appear full-length in the conference proceedings, and will be submitted for inclusion into IEEE Xplore as well as other Abstracting and Indexing (A&I) databases.

Check that the names of all authors and their order is identical in the PaperPlaza submission system, the paper, the summary slide (digest), and the accompanying video (if applicable). Please write author names with only the first letter capitalized, that is, use "Firstname Lastname" in all instances and do not use "FIRSTNAME LASTNAME" in any materials.


The digest is a required one page slide that summarizes the paper.  Authors must use the following predefined format:

Please do not change the template and keep fonts and font sizes as indicated.

Optional Video

Authors are encouraged to include a single optional video, e.g. to show experimental results, in one of the following formats: .mpg, .mpeg, or .mpr.   Authors may choose their own resolution, but file size is limited to 10 MB.  

Copyright Transfer

Copyright transfer must be processed via Papercept during final manuscript submission.   Make sure that paper title and the author list are correct before performing the copyright transfer.


At least one author must have registered for the conference via Papercept.   Each full registration (with or without IEEE membership) permits the upload of up to two manuscripts.   You may register via the AIM 2016 Registration Page on Papercept, with additional information on conference registration available here.   If final submission exceeds 6 pages, you must first update the final submission information and then register. The excess page charges will automatically appear in your account.

Acceptance Letter for Visa Applications

For international visitors, at any time after your paper has been accepted an acceptance/invitation letter for use in visa applications may be obtained via the paper submission site.

1.  Login to the system and find your accepted paper page.

2.  Select the option menu “Choose an option”: you will see an option item “Request for an acceptance letter”. From there, you should be able to download the acceptance letter for visa application.
